General Functions:

The Administrative Assistant provides administrative and related support services for the ETSD Director and ETSD. This position is responsible for maintaining records/files, coordinating internal/external meetings and communications (telephonic and electronic), coordinating travel, assisting with Director and department calendars and providing office support.

Duties and Responsibilities:

+ Screen incoming calls, take messages, refer calls and respond to routine callers.

+ Maintain daily calendars and contact directories.

+ Processes travel arrangements for supervisor and back up for ETSD.

+ Screen, route and/or make copies of incoming mail.

+ Initiate calendar coordination for supervisor.

+ Prepare for meetings in coordination with supervisor.

+ Type and revise letters, various reports and other materials.

+ Respond to routine correspondence.

+ Ensure the procurement of supplies and materials for supervisors and department. Must monitor budget and coordinate with the ETSD Office manager.

+ Make weekly supply runs at designated store to stock ETSD break room and ensure break room remains clean.

+ Monitor department contracts, pay related invoices and track expenditures against each contract.

+ Conduct internet research; examples include: demographic information from Department of Labor, statistics regarding poverty, education, etc.

+ Develop a tool to monitor the following time sensitive items: ETSD report timelines, ETSD annual evaluations due dates, grant applications, ETSD Contracts/MOA, etc.

+ Provide logistical support to organizing special events, meetings, and pick-ups and deliveries.

+ Cross train and provide back up for the ETSD Office Manager.

+ Maintain confidentiality at all times according to regulations, policies and procedures, while displaying a professional disposition.

+ Perform related duties as assigned.

Job Specifications:

+ Strong working knowledge of Publisher, Word, Excel, PowerPoint and other business software.

+ Excellent telephone etiquette and professional presence.

+ Demonstrated ability to work effectively with executives, managers, co-workers and external contacts.

+ Demonstrated ability to work effectively and efficiently in a multi-task environment.

+ Strong organizational and information management skills.

+ Demonstrated ability to work independently and with minimal supervision.

+ Demonstrated ability to work under pressure and prioritize workload.

+ Demonstrated ability to be flexible and understanding of changing priorities.

+ High level of proficiency with computers and standard office equipment.

+ Demonstrated ability to type 40 words-per-minute accurately.

+ Demonstrated knowledge of proper grammar, spelling, vocabulary, editing and proofreading.

+ Knowledge of business formats and procedures.

Minimum qualifications:

+ High school diploma or GED.

+ Knowledge of Alaska Native and American Indian culture and community resources.

+ Continued employment is contingent upon receipt of a satisfactory report from a state and federal background check.

+ Valid Alaska driver's license and insurable under CITC's automotive insurance.

Preferred qualifications:

+ Associate's degree in Business or related field.

+ Three to four years' experience in an administrative support capacity.
